About Amsterdam
Amsterdam is a beautiful and truly iconic city. It is the capital of the Netherlands and most populous municipality of the country. Old canals lined with gorgeous townhouses, buzzy cafés, splendid restaurants, stylish boutiques and treasure-packed museums (Anne Frank House, Van Gogh Museum, ...), a hyper-active creative community, Amsterdam is a good-time city. Just know that Amsterdammers take riding their bike very seriously. So beware!
Abstract Submission
- The submission of abstracts is welcome and highly appreciated
- Abstracts should be submitted via the available link on the conference website
- All submitted abstracts that fulfill the submission criteria, will be screened and considered for presentation by reviewers, appointed by the Scientific Committee, which will send a notification regarding acceptance or rejection of abstracts to the submitting author via e-mail
- Accepted abstracts are published in the Multiple Sclerosis Journal after the conference
- There is no cost linked to abstract submission or poster presentation
- Late breaking abstracts will not be accepted
- Posters are centrally displayed close to the plenary room

Accreditation
The 23rd RIMS Annual Conference requested European CME credits (ECMEC) at the European Accreditation Council for Continuing Medical Education (EACCME). We will keep you informed.
Awards for best poster presentation
There are Awards for both best poster and best oral presentation.
Detailed information on the procedure and awards will available on the conference website.
Badges
Participants are requested to wear their personal name badge during the official programme. Access to the scientific sessions will only be granted to participants wearing their personal name badge.
Cancellation Policy
After receipt of the confirmation of the individual or group registrations and/or hotel reservation, 100% cancellation costs apply (no refunds). Cancellations have to be made in writing to the Conference Secretariat via rims@seauton-international.com.
A cancelled registration can be taken over by another participant (= name change) until Tuesday 15 May, 2018. After this date a name change fee of € 50 including 21% VAT is applicable. No refund or name change is possible for a cancelled hotel booking.
Modifications to your conference registration are only possible to non-paying items.
Registrations for a teaching course and PhD session can be cancelled until Monday 30th April 2018.
If there is a lack of interest (<10 delegates), the teaching course will be cancelled and reimbursement will be organised. Delegates will be notified by the Secretariat of this teaching course cancellation the latest by 30th March 2018.
Coffee breaks and lunches
Coffee breaks and lunches are included in the registration package and will be served in the poster area as per the programme schedule.
Conference Registration
A Conference Registration includes:
- Admittance to the 23rd Annual Conference sessions and satellite symposia (31st May 2nd June 2018)
- Admittance to the poster area
- All lunches & coffee breaks on Friday and Saturday
- The meeting folder and an individual badge
- Access to the final programme
Individual Annual Conference Registrations
Individual Annual Conference Registrations should be made online and are available until Sunday 27 May, 2018. After that, only on-site registrations are possible.
The registration cannot be shared by two or more participants. As such, only the participant whose name appears in the registration file may pick up the badge onsite and no substitutions will be allowed once the badge has been picked up.
RIMS-member
Participants are RIMS members if they are an Individual Member at the time of registration or if their respective organisation is a RIMS member at the time of registration.
Proof of membership will be requested when registering (Membership ID – without ‘/’).
Maximum six participants per Member Center can register at the reduced fee. Six promotional codes will be communicated to each Member Center that was a Member in 2017 or becomes a Member in 2018.
If potential delegates plan to renew their Membership and wish to register, they can use a dummy Membership ID (TTTI for an Individual Member and TTTC for a delegate from a Member Center). The Individual Membership fee or the Membership Fee of the Center will have to be paid before the start of the Conference to gain access to the Conference.
Group Annual Conference Registrations
If you are making a booking for somebody else or for more than one person, you are considered the group responsible. Please note that the group responsible is not registered for the Conference. In case the group responsible wishes to attend the conference, he/she needs to register as a delegate as well.
One invoice will be created for the entire group.
The group registration is only valid after the full payment for the group registration has been received.
The early-bird rate will only apply to participants whose payment is received by the PCO
Secretariat within 7 days following the early-bird deadline. After this date, the participants will be charged at the regular rate.
Admittance to a SIG is complimentary to all Conference Delegates.
Every group delegate requires a personal e-mail address, double e-mail addresses will not be accepted.
Teaching Course Registration
Teaching Courses will be organised in the margin of the RIMS Annual Conference.
When completing an Individual or Group Annual Conference Registrations, participation to a teaching course can be purchased.
It is not obligatory to purchase an Annual Conference Registration to be able to register for a Teaching Course.
The Teaching Course Registration includes meeting materials, lunch and coffee breaks.
Special Interest Groups
Pre-registration is mandatory.
Participation to a SIG is available on a first-come, first-served basis.
It is obligatory to purchase an Annual Conference Registration to be able to register for a SIG Meeting.
Annual Conference Venue
The conference will be held at the Vrije Universiteit in Amsterdam, De Boeleaan 1105, 1081 HV Amsterdam.
Certificate of Attendance
A certificate of attendance will be distributed at the end of the 23rd Annual Conference.
Climate
Amsterdam is fine all year round, Spring time is a really nice time to visit the city (warm and clear), an umbrella might come in useful as there is always the possibility of rain.
Dress Code
The dress code during the Annual Conference is business casual.
Hotel Reservation Rates
Individual and Group Hotel Reservations
Each hotel reservation has to be linked to a registration for the Conference, except for the person guiding a Group (Group Guide). In the event hotel reservations are made not being part of a registration for the Conference, the PCO Secretariat has the right to cancel the hotel reservation.
Individual reservations can be done via the online reservation tool available on the Conference Website.
The Group Guide can make a hotel only reservation via the online conference website.
The deadline for hotel booking through the website is February 15th, 2018.
Language
The official language of the Annual Conference is English.
Liability and Insurance
Neither the scientific organisers (RIMS) nor their logistical partner (Seauton
International) will assume any responsibility whatsoever for damage and injury
to persons or property during the Conference. Participants are recommended to arrange for their personal travel and health insurance.
Belgian law shall apply and place of jurisdiction will be Leuven.
Payment policy
Please note that your registration will only be valid once full payment is received by the Conference Secretariat. Priority to activities with limited capacity will be given to those who have paid in full.
All invoices issued must be paid before the Annual Conference. All amounts are in euro. Payments can be made by credit card or bank transfer (for groups only) through a secured page on the Annual Conference website.
Outstanding amounts will be collected at the on-site rate. When registering at the Welcome & Hospitality Desk, please bring a copy of your proof of payment in the event your registration fees were not credited to the Meeting account in time. A credit card and signature may be required as guarantee of payment.
All charges for payment transactions are the responsibility of the participant and should be paid at source in addition to the registration fees.
Invoices are only sent by email.
Special requests for the processing of the invoice should kindly be submitted in writing to the Operational and Administrative Secretariat. For the reissuing of invoices € 120 (incl. VAT) will be charged.
Online payments are accepted by Credit Card: Visa, MasterCard or American Express
Permission to contact and to store personal data
Individual delegates will be contacted by the Conference Secretariat with regards to their registration to the 23rd Annual Conference (registration and hotel confirmation, program updates, certificate of attendance, …).
The Conference Secretariat will not contact group delegates with regards to their registration to the Annual Conference.
The Conference Secretariat will only contact group delegates with regards to the procedure to obtain the certificate of attendance (accreditation).
A printed list of participants will be available and can be picked up at the Welcome & Hospitality Desk.
When registering to the 23rd Annual Conference of RIMS, participants can agree (opt-in):
• to receive email communications from RIMS to be informed about its future Annual Conferences and other activities.
• that their contact information may be shared with the partners or supporting organisations for the purpose of providing them information regarding MS products or services or sending them by-invitation only special events or SIG’s.
Please note that your personal data will be kept by the Operational and Administrative Secretariat for the upcoming three years, if you choose to give us the permission to send you e-mails about RIMS' Annual Conference and other activities.
The Conference Secretariat (rims@seauton-international.com) can be contacted when delegates wish to delete or modify the registered information (i.e. name + surname + e-mail).
Photos and Videos
Delegates agree that RIMS VZW may use any photos taken in conjunction with the Conference in an unlimited manner for promotional purposes of RIMS VZW and its activities on the RIMS website and in RIMS Publications without any compensation to the delegate.
Delegates agree that RIMS may use any video recordings taken in conjunction with the Conference in an unlimited manner for scientific educational purposes of RIMS and its activities on the RIMS website and in RIMS Digital Material without any compensation to the delegate.
Scientific Networking Dinner
All participants are invited to attend the scientific networking dinner, scheduled for Friday evening, 1st June. Registration is not included in the conference fee.
Validity
If one or more provisions of this Specific A-Z Terms & Conditions is found to be invalid, illegal or unenforceable (in whole or in part), the remainder of the provision and of this Specific Terms & Conditions shall not be affected and shall continue in full force and effect as if the invalid, illegal or unenforceable provision(s) had never existed.
Welcome Cocktail
The organising committee cordially invites you to the Welcome Cocktail on Thursday evening, 31 May. Participation is free of charge, but pre-registration is mandatory.
Wifi Network
Wireless internet will be available free of charge. Delegates can pick up their login codes at the Welcome and Hospitality desk.
