Instructions for Paper Submitters

Requirements

  • A draft submission must contain enough detail and content for the reviewers to be able to judge the paper appropriately. Technical Papers must be a minimum of 5 and a maximum of 10 pages. Research Papers must be minimum of 9 and a maximum of 12 pages.
  • All Paper submissions must be in the template on the website 
  • Proposals must be original and report on recent significant and substantive achievements. 
  • Proposals may address any mode of transport.
  • The official Congress language is English; papers that are partly or fully in a different language will be rejected.
  • Contributions can only be submitted through the online submission system.

Note:

  • Research Paper submissions judged as not matching the expected criteria may still be accepted as Technical Papers if considered fitting.
  • Those who submit papers via the portal are considered to have expertise in the relevant field and may be asked to review papers for ITS Toulouse 2022.

Review Procedure
External and independent reviewers award a score and comment on the papers using these six criteria:

  • An easy to understand text of an appropriate length 
  • A clear summary of the scope, methodology and outcome of the work
  • Sufficient data to support the findings and conclusions, and applicable elsewhere
  • Existing work well described and properly referenced
  • Appropriate and properly argued conclusions
  • A significant contribution to the state of the ITS art or practice

Authors will be informed about the acceptance status of their papers by the deadline communicated:

  • Papers not meeting the minimum requirements will be rejected.  
  • Conditionally accepted papers will require authors to address the reviewers’ comments before being fully accepted.
  • Authors of fully accepted papers will have a chance to update them closer to the Congress date.


Please note

  • Authors can submit a maximum of THREE papers and will not be allocated more than TWO speaking opportunities for presenting their papers.
  • Acceptance of Papers is not linked to Sponsorship, which is negotiated separately. 
  • Publication and presentation at the Congress are subject to registration to the Congress and payment of the registration fees.


Instructions for Session Organisers 

Requirements

  • All proposals must be submitted online, in English, and will not be considered unless the name, organisation, country and email address of the moderator and at least three confirmed speakers are listed.

​​​​​​​Review Procedure

Reviewers from the European Programme Committee will use these criteria to approve sessions:

  • Relevance to the overall Congress theme and chosen topic
  • An interactive format rather than a series of presentations
  • A discussion topic not featured in previous Congresses 
  • Proposals tackling a broad area rather than a single project 
  • An indication of what the individual speakers will contribute to the discussion
  • A diverse and gender-balanced mix of moderators/speakers, with three confirmed speakers


Organisers will be informed about the acceptance status of their sessions by the deadline communicated:

  • Some sessions may be asked to merge to avoid duplication
  • Speaker confirmations will also be requested

Please note

  • Organisers may submit a maximum of THREE session proposals and will not be allocated more than TWO proposals.
  • Presentation at the Congress is subject to registration and payment of the registration fees.
  • Accepted sessions whose speakers are not registered by the given deadline will lose their slots in favour of others from the reserve list.

  • Each completed submission will receive an auto-generated acknowledgment email with the ID number and contact details of the submitter.  This confirmation of receipt does not signify acceptance.​​​​​​​
  • Attendance and presentation options at the Congress are in-person only.
