The health and wellbeing of everyone attending an ICIS event is our top priority. That’s why we have been working hard to implement some important measures that mean you can attend any ICIS event in a safe and secure manner.
 
This includes collaborating closely with all event partners to embed the key principles of hygiene, physical distancing and safeguarding whilst enjoying a great experience.
 
Be kind and considerate to your industry colleagues and event staff. Being personally accountable to adhere to the requirements above and supporting each other is our collective responsibility to run a successful event for all. Any individuals not complying with the requirements above may be asked to leave the event.
 

Hygiene

  • Enhanced cleaning
    • Working closely with venue partners to implement an increased cleaning schedule
    • Continuous sanitisation throughout the course of an event, paying special attention on high-touch areas such as door handles, restrooms and food and beverage areas
    • Sanitising technical equipment such as microphones, headsets, lectern in between each use
    • Providing guidance to sponsors and exhibitors to ensure stands and meeting rooms are regularly disinfected throughout the event
  • Personal hygiene
    • Encouraging all attendees to make regular use of readily available sanitiser stations throughout the event
    • Hand sanitiser stations will readily be available at key locations around the venue, including restrooms, food and beverage locations and conference rooms
    • Onsite communications will encourage all participants to regularly wash and disinfect their hands
 
Physical Distancing

  • Contactless registration & check-in
    • All registrations must be completed online in advance of the event
    • Contactless badge collection system for all attendees
    • We will not allow bulk badge collections
    • Staggered registration times will reduce busy periods and queues ·
  • Physical contact
    • Encourage attendees to avoid physical contact, such as handshakes and embraces, promoting alternative ways to greet business partners
    • Imposing safe handling of promotional giveaways and encouraging the use of digital alternatives
  • Physical distancing
    • Managing capacity in line with local authority regulations, venue or other relevant guidance including:
    • Reduced capacities in meeting rooms with appropriately spaced seating
    • Onsite signage and floor markings to promote a one-way flow around the event and manage physical distancing when queuing
    • Designated entrances and exits where possible
  • Food and beverage stations
    • No self-served catering. All catering stations will be staff assisted using PPE
    • Where possible lunches to held in restaurants with appropriate physical distancing in place
 
Safeguarding

  • Communication
    • All attendees will receive specific guidance related to the event they are attending and the local guidance in place at the venue
    • All attendees to have access to a dedicated member of the onsite team to help with any concerns
  • Personal Protective Equipment (PPE)
    • All attendees will be asked to wear a face mask while at the event in line with local guidance
    • PPE, such as gloves and eye screens, will be used by participants and staff if appropriate, in line with local government and health authority advice
  • Medical assistance
    • We will work with our venue partners to ensure access to a qualified first aider and a separate quarantine area should anyone become unwell
    • Participants will be asked not to attend if they are feeling unwell, and teams will follow local health authority guidance on detecting and managing anyone who displays symptoms of COVID-19
  • Screening
    • Measures for screening attendees will be followed in line with local guidance. This may include checking the temperatures of everyone on entry, through thermal scanning or other screening processes
  • Trace and contact
    • Working with local authorities to trace and contact attendees at our events, subject to local privacy regulations, should anyone test positive for COVID-19
  • Health & Safety
    • Assigning a Health & Safety Manager onsite at each event. To ensure all hygiene measures are adhered to and following the latest local guidance
