Abstract Submission

  • Abstracts should be submitted via the available link on the conference website and on Friday, February 23, 2024 (23:59 CEST) at the latest. You can find the guidelines and criteria in the abstract submission platform.

The Scientific Committee of RIMS will grant awards for the best poster and best oral presentation.

Badges

Participants are requested to wear their personal name badge during the official programme.
Access to the scientific sessions will only be granted to participants wearing their personal name badge.

Cancellation Policy

After receipt of the confirmation of the individual or group registrations and/or hotel reservation, 100% cancellation costs apply (no refunds). Cancellations have to be made in writing to the Conference Secretariat via rims-events@seauton-international.com.

A cancelled registration can be taken over by another participant (= name change) until the early bird deadline. After this date a name change fee of € 50 including 21% VAT is applicable.

Modifications to your conference registration are only possible to non-paying items.

Coffee breaks and lunches 

Coffee breaks and lunches are included in the registration package and will be served in the poster area as per the programme schedule.

Certificate of Attendance

A certificate of attendance will be sent by email after the Annual Conference.
 

Climate

Hasselt is mostly fine all year round, Spring time is a really nice time to visit the city (warm and clear), an umbrella might come in useful as there is always the possibility of rain.

Conference Registration

A Conference Registration includes:

  • Access to the Scientific Programme of the 29th Annual RIMS Conference, Hasselt, Belgium (June 27 - 29, 2024)
  • Access to the Special Interest Group meetings on Thursday afternoon
  • Access to the poster area
  • Access to the online publication of the Multiple Sclerosis Journal
  • Coffee breaks and lunches as per the programme schedule

Individual Annual Conference Registrations
Individual Annual Conference Registrations should be made online and are available until the day of the conference. 

The registration cannot be shared by two or more participants. As such, only the participant whose name appears in the registration file may pick up the badge onsite and no substitutions will be allowed once the badge has been picked up. 

RIMS-member
Participants are RIMS members if they are an Individual Member at the time of registration or if their respective organisation is a RIMS member at the time of registration.

Proof of membership will be requested when registering (Membership ID).

Maximum six participants per Member Center can register at the reduced fee. 

The Individual Membership fee or the Membership Fee of the Center will have to be paid before the start of the Conference to gain access to the Conference.

Group Annual Conference Registrations
If you are making a booking for somebody else or for more than one person, you are considered the group responsible. Please note that the group responsible is not registered for the Conference. In case the group responsible wishes to attend the conference, he/she needs to register as a delegate as well.

One invoice will be created for the entire group.

The group registration is only valid after the full payment for the group registration has been received.

The early-bird rate will only apply to participants whose payment is received by the PCO Secretariat within 7 days following the early-bird deadline. After this date, the participants will be charged at the regular rate.

Every group delegate requires a personal e-mail address, double e-mail addresses will not be accepted.
 

Conference Venue

The conference will be held at Hasselt University, Hasselt, Belgium.

Dress Code

The dress code during during the Annual Conference is business casual.
 

Hotel Reservation

Hotel arrangements should be made directly with the hotels. Have a look at the hotel reservation page for more information.

Language

The official language of the Annual Conference is English.
 

Liability and Insurance

Neither the scientific organisers (RIMS) nor their logistical partner (Seauton International) will assume any responsibility whatsoever for damage and injury to persons or property during the Conference. Participants are recommended to arrange for their personal travel and health insurance.

Payment policy

Please note that your registration will only be valid once full payment is received by the Conference Secretariat. Priority to activities with limited capacity will be given to those who have paid in full.

All invoices issued must be paid before the Annual Conference. All amounts are in euro. Payments can be made by credit card or bank transfer (for groups only) through a secured page on the Annual Conference website.

All charges for payment transactions are the responsibility of the participant and should be paid at source in addition to the registration fees.

Invoices are only sent by email.

Special requests for the processing of the invoice should kindly be submitted in writing to the Operational and Administrative Secretariat. For the reissuing of invoices € 120 (incl. VAT) will be charged.

Online payments are accepted by Credit Card: Visa, MatserCard or American Express.
 

Permission to contact and to store personal data

Individual delegates will be contacted by the Conference Secretariat with regards to their registration to the Annual Conference (registration, programme updates, certificate of attendance, …).

The Conference Secretariat will not contact group delegates with regards to their registration to the Annual Conference.

The Conference Secretariat will only contact group delegates with regards to the procedure to obtain the certificate of attendance (accreditation).

A printed list of participants will be available and can be picked up at the Welcome & Hospitality Desk.

When registering to the Annual Conference of RIMS, participants can agree (opt-in):

  • to receive email communications from RIMS to be informed about its future Annual Conferences and other activities.
  • that their contact information may be shared with the partners or supporting organisations for the purpose of providing them information regarding MS products or services or sending them by-invitation only special events or SIG’s.

Please note that your personal data will be kept by the Operational and Administrative Secretariat for the upcoming three years, if you choose to give us the permission to send you e-mails about RIMS' Annual Conference and other activities.

The Conference Secretariat (rims-events@seauton-international.com) can be contacted when delegates wish to delete or modify the registered information (i.e. name + surname + e-mail).
 

Photos and Videos

Delegates agree that RIMS VZW may use any photos taken in conjunction with the Conference in an unlimited manner for promotional purposes of RIMS VZW and its activities on the RIMS website and in RIMS Publications without any compensation to the delegate. 

Delegates agree that RIMS may use any video recordings taken in conjunction with the Conference in an unlimited manner for scientific educational purposes of RIMS and its activities on the RIMS website and in RIMS Digital Material without any compensation to the delegate. 

Scientific Networking Dinner

All participants are invited to attend the scientific networking dinner, scheduled for Thursday evening, 27 June. Registration is not included in the conference fee.

Validity

If one or more provisions of this Specific A-Z Terms & Conditions is found to be invalid, illegal or unenforceable (in whole or in part), the remainder of the provision and of this Specific Terms & Conditions shall not be affected and shall continue in full force and effect as if the invalid, illegal or unenforceable provision(s) had never existed.
